Wedding Coordinator

At Lough Rynn Castle Estate & Gardens we are now recruiting for a Wedding Coordinator.

This role is responsible for assisting with all aspects of wedding sales, wedding client management & event implementation for the hotel while ensuring exceptional customer care is always achieved and to maintain standards in their area in order to facilitate the smooth running of the operation. They will use the Moposa system to create reports to monitor wedding segment performance.

ACCOUNTABILITIES:

  • Responsible for delivering and exceeding customer expectations both on the telephone and in person
  • Ensure a timely and accurate response to all customer enquiries, providing information, quotations, proposals and contracts
  • Respond to all wedding enquiries in a timely fashion (email, phone, walk-in)
  • Ensure detailed files are maintained from the first meeting until completion of the wedding
  • Negotiate packages and confirm wedding sales
  • Manage client expectations and always over deliver
  • Handle all customer enquiries and complaints according to the hotel’s expectations ensuring guests are happy on departure
  • Ensure that customer comments are relayed to the department manager for follow-up
  • Actively promote weddings within the hotel and aim to maximise sales opportunities. Keep updated and familiar with trends within the industry locally and abroad with view to enhancing our product and service ensuring our leading-edge status
  • Be aware of competitors, packages, product, marketing
  • Daily administration duties in the office alongside the Events team
  • Attend all wedding fairs both in the hotel and off site
  • Sales responsibilities involving showing potential customers around the hotel and upselling every department therein, looking out for new business avenues by cold calling, telephone sales, mail shots etc
  • Preparing and maintaining administrative documentation with respect to events, implementing proper filing procedures, and ensuring computer system is always updated and accurate using Moposa and Visual One PMS systems
  • Coordinate wedding arrangements with bride and groom including initial tour of hotel and grounds, reception plans, proposals and quotations

What we require our applicants to have:

  • Previous experience working in this role is desired
  • The ability to engage well with guests to provide outstanding guest service
  • Excellent attention to detail & a good working knowledge of PMS systems
  • The ability to adapt to change and work well under pressure
  • Individuality, creativity and a flair for exciting new ideas
  • Outgoing and friendly personality
  • Have a professional image at all times in line with the Hotel standards
