Campus Life Services (Plassey Campus Centre) is a University company which manages facilities and services which contribute to campus life and the cultural life of the region. These include accommodation, catering, retail, the University Concert Hall and the University Sports Arena. A key activity for the company is to market the campus for conferences and events during the summer season when the facilities are available. Typical events include academic and charity conferences, summer schools, and sports tournaments such as the Special Olympics National Games (which was hosted for the second time at UL in 2014), the World Medical Games, and the JKA World Karate Championships.

General Duties

1.Attend full training and induction at the start of employment.
2.Uniform should be worn at all times. Staff should look presentable at all times and thisshould include:
a.Hair tied back for those staff members with long hair
b.Black/navy shoes should be worn
c.Open toed shoes or runners are not permitted at any time
d.Excessive jewellery should not be worn during working hours
3.Smoking / vaping is not permitted on campus.
4.Punctuality, honesty and discretion are essential and an integral part of the work ethic.Please note that a certain amount of both weekend and out of office working hours arerequired as part of this role.
5.Act as an ambassador for Plassey Campus Centre at all times, especially in the presence ofguests, fellow staff and the general campus community.
6.Adhere to the companies Health and Safety policy

Administration / Operational Duties

1.Answer all incoming calls and emails and direct to the appropriate Event Manager.
2.Order department supplies including water, flowers and signage as directed by EventManager.
3.Liaise daily with Event Managers for specific duties.
4.Filing and general organisation of the department including maintenance of equipment.
5.Manage diaries including weekly, monthly and seasonal meetings.
6.Co-ordinate agendas and take minutes.
7.Operations associated with all events, including the use of EventsAIR software
Reservation Administration
1.Process the ad hoc/casual accommodation bookings via the website and our tailoredproperty management system known as KX.
2.Process ad hoc accommodation bookings via telephone and email.
3.Process small ad hoc event bookings.
4.Assist Event Managers with events during the summer.
5.Process payment for ad hoc accommodation bookings.
6.Co-ordinate ‘cash up and end of day’ procedures for the department.

Health and Safety

The Assistant should be familiar with the health and safety policy of the company. He/she will be responsible, with the department, to ensure that checks are carried out on equipment in line with policy and procedure.
Computerised Records
The Assistant is responsible for:
•Maintaining records on all customers
•Using the summer reservation system
•Updating the company website

Customer Service

At Campus Life Services, we aim to have a strong customer service ethos in relation to students and summer guests alike. The Assistant and staff play a large part in the delivery of customer service. Therefore, the Assistant is expected to develop a strong ‘customer focussed’ orientation in the day-to-day activities of the conference department.
