Events Coordinator

Applications are invited for a permanent, full-time Events Coordinator, working to senior diplomatic and administrative staff (contrat à durée indéterminée – CDI), based at the Embassy of Ireland, Paris. The successful candidate will work across the Embassy team, and with external partners, to coordinate hospitality and events that support the delivery of Ireland’s diplomatic objectives in France.
Main duties and responsibilities:
– Organise, design and oversee the delivery and quality of Embassy events;
– Manage scheduling and ensure calendar management of events;
– Maintaining and updating a database of all Embassy contacts for invitation purposes;
– Management of event RSVP lists, providing regular updates to senior management;
– Work closely with the events teams to ensure correct and timely event preparation,
including room set-up and clear-up;
– Work with the diplomatic teams to ensure post-event evaluation and lesson-learning;
– Continuously monitor and improve systems and processes around events delivery;
– Liaise with external suppliers to source supplies, contractors and personnel for events;
– Prepare budgets, manage financial tracking of events and reporting to the accounts team;
– Track data and support annual reporting on events;
– Oversee event-related inventory and stock management and reporting;
– Support the Embassy administration team to identify facilities or maintenance issues;
– Work with the relevant staff to ensure Representational areas are kept presentable;
– Coordinate with Embassy security/administration on guest access and emergency protocols;
– Welcome guests to the Embassy and support hosting and hospitality as required.
The nature of the work may evolve over time to include other tasks related to event organisation and hosting.
Qualifications/experience/competencies required:
A: Essential
– Candidates must have a hospitality or related qualification or experience, including
knowledge of service at a high level and/or;
– A minimum of one-year relevant experience;
– Native level French or English and the ability to communicate well [C1 level] in the other
language. Shortlisted candidates will be tested on their language skills;
– Excellent organisational skills, imagination and initiative;
– Calendar and contacts management;
– Excellent interpersonal skills;
– Good personal presentation;
– Ability to follow instructions and implement routines as directed;
– Early morning, evening and occasional weekend work is required for this role;
– The successful candidate must have the right to live and work in France. A French social
security number is required.
B: Desirable
– Knowledge of excel, word and outlook;
– Knowledge of Ireland;
– Experience working in an international office environment
Terms and conditions of employment:
– The basic gross salary will be €33,526.87 per annum / €2,578.99 per month, paid locally on a monthly basis. The fixed weekly working will be 39 hours (this includes four hours of paid overtime). A considerable degree of flexibility will be required.
– The successful candidate will be hired on a contrat à durée indéterminée – CDI.
– Location: Embassy of Ireland, France, 12 avenue Foch, (entrance 4 rue Rude), 75116 Paris.
– Salaries are paid locally on a monthly basis; the successful candidate must have a bank account in France.
– Annual Leave entitlement is 25 days per annum.
– The successful candidate must have the right to live and work in France. A French social security number is required.
